Show settlement list with missing Amazon settlements

Understanding the new “Needs Requesting” status for older Amazon payouts

Feature overview

Sometimes Amazon removes older settlement reports after a certain period (around 90 days). When that happens, you might still see the payout in your bank account, but previously you could not see a matching settlement in Link My Books.

With this update, those “missing” Amazon settlements now appear in your Settlements list with a clear status. This means you can see all payouts Amazon has sent you, even when the detailed breakdown is not currently available.

How it works

  • When Amazon no longer provides the detailed report for a settlement, Link My Books still shows the payout in your Settlements list.

  • The settlement row looks similar to other settlements. It shows:

    • The payout amount

    • The currency

    • The date range covered by the settlement

    • The Amazon marketplace (for example, Amazon.co.uk)

  • The Status for these entries is “Needs Requesting”.

  • These entries are read-only:

    • You cannot send them to your accounting software.

    • They will not be posted automatically.

  • This applies only to:

    • Active Amazon accounts in Link My Books

    • Settlements where the date is within your history date range

    • Valid Amazon payouts (not failed or unknown transfers)

This change is designed to give you a full and honest view of your Amazon payouts, even when Amazon no longer provides the full settlement report.

Step by step: How to see these settlements

  1. Log in to your Link My Books account.

  2. From your account list, select the relevant Amazon account.

  3. Go to the Settlements page for that Amazon account.

  4. Look through the list of settlements, which are shown in date order.

  5. Check the Status column:

    • Normal settlements will show their usual status.

    • Older payouts where Amazon has removed the report will show “Needs Requesting.”

  6. Click into or review these “Needs Requesting” rows to see:

    • The payout amount

    • The currency

    • The date range

    • The marketplace

You will not be able to send these specific settlements to your accounting software, but you can now clearly see that the payout exists and understand why there is no detailed breakdown available.

How to request the older reports from Amazon so they process

Amazon archives settlement reports after 90 days. Before Link My Books can import them fully, you need to request them from Amazon Seller Central.

Go into your Seller Central account and navigate to:

Reports > Payments > All Statements

On the All Statements tab you will see a list of all your past settlements. Older settlements will show a Request Report button — click it to ask Amazon to generate a Flat File V2 report for that settlement period.

Once Amazon has processed the request, the button will change to Download Flat File V2.

💡 Good to know

Once the Download Flat File V2 button appears, the settlement should drop into Link My Books within 48 hours. You do not need to download the reports or send them to support — the system picks them up automatically.
