Refreshing your settlements

How to sync your latest payouts in Link My Books

When to use this

Use the Check for new settlements refresh when:

  • You've just connected or reconnected a sales channel (for example Shopify, eBay, Etsy, WooCommerce, TikTok Shop, Walmart, Square).

  • You go to Settlements and don't see any new payouts yet.

Instead of waiting for Support to sync things in the background, you can now do it yourself.

Note: This feature does not apply to Amazon settlements. Amazon settlements are pulled in through a separate process — see Show settlement list with missing Amazon settlements for more details.


How to refresh your settlements

  1. Log in to Link My Books.

  2. Choose the account you require.

  3. Go to your Settlements dashboard.

  4. At the top of the Settlements page, just to the right of the search bar, click the circular arrow icon. This is the refresh button. Hover over it and you'll see the tooltip Check for new settlements.

  5. The sync will begin automatically.
    New payouts will start appearing in the list — they may initially show as Processing before changing to Ready once complete.

The refresh button is an icon only, so there is no button with wording on it to look for. It sits in the row of icons next to the search bar at the top of the Settlements page.

Tip: There's a short cooldown between each refresh, so if nothing appears straight away, wait a few minutes before trying again.


What the statuses mean

On the Settlements page you may see:

  • Processing – We've found the payout and are still working on it.

  • Ready – The payout is fully processed and can be sent to Xero or QuickBooks.

  • Failed – Something went wrong. The system will retry automatically; if it stays failed for a long time, a human agent on the Link My Books team can help.
