Introducing the Accountant Portal — manage every client from one place

A tour of the new Accountant Portal: the Practice dashboard, per-client Overview, Channels, Reports, Billing and Settings tabs, and how to get started.

Written by Daniel Little

If you use Link My Books to look after more than one client, this one's for you. The new Accountant Portal brings your entire practice into a single view: every client, every sales channel, every month-end close, and every plan — all on one screen, with the things that need your attention pushed straight to the top.

No more switching in and out of individual accounts to find out where a settlement is stuck or which connection has dropped. The Portal is built around one simple idea: spend less time chasing status, and more time doing the work.

Here's what's new.

Your practice, at a glance

The Practice dashboard is your new home screen. At the top, a Needs your attention strip surfaces everything across your whole client base that needs action right now — a disconnected sales channel, an expired Xero or QuickBooks connection, a refund spike, a client approaching a plan change, or accounts sitting idle and quietly costing you money.

Each alert is written in plain English and comes with the action built in, so you can reconnect a channel or review a settlement without hunting for it.

Below the alerts sits your full client list — searchable, filterable, and sortable. See each client's health at a glance (growing, stable or declining), their month-end close status, and a six-month history of how their closes have gone. Pin your most important clients to the top, filter by status (like "Settlements ready to post" or "Connection blocked"), and click any client to dive straight in.

Everything about a client, in one place

Click into any client and you get a dedicated workspace with five tabs: Overview, Billing, Channels, Reports and Settings.

Overview — the client at a glance

The Overview tab is your quick health check. See this month's revenue and orders (with the change on last month), your Link My Books cost for that client, and any alerts specific to them.

The standout is "Can we close this month?" — a channel-by-channel breakdown of exactly what's standing between you and a clean close. Each channel shows as Completed or Requires action, with the reason spelled out ("Ready to post", "Missing product costs") and a button to resolve it there and then. A 12-month trends chart lets you hover any point for exact revenue and order figures.

The Overview tab tells you, channel by channel, exactly what's needed to close the month.

Channels — your diagnostic hub

The Channels tab is the first place to look when something's off. At the top sits the accounting connection — the highest-stakes link, since every settlement posts through it — with one-click options to open it in Xero or QuickBooks, refresh the accounting data, or reconnect.

Below, every sales channel is listed with its live status, monthly orders, refund rate and a 12-month trend. Filter to just the channels that need attention, and add a new channel in a couple of clicks — we'll email your client a secure link to connect it themselves.

Reports — a branded monthly report for your client

The Reports tab produces a polished, client-facing monthly report — branded with your practice's logo, name and contact details, not ours. Download it as a PDF or share it by email.

It leads with the four numbers clients ask about first — revenue, orders, average order value and refund rate — each with the change on last month, followed by a channel-by-channel revenue breakdown and month-on-month and year-on-year comparisons. It's a professional deliverable you can put in front of a client with your name on it, generated in seconds.

Billing — see (and set) your margins (coming soon)

The Billing tab breaks down exactly what each client costs, what's driving their plan, and where their billing is heading over the next three months.

There's also a built-in margin calculator: enter your own monthly fee, add your cost stack, and instantly see your margin and suggested prices for the profit you're aiming for.

Settings — everything in its place

The Settings tab keeps each client's details tidy — legal and trading names, tags, contacts, VAT registration and return frequency, internal notes and more — with a full activity log so you can see who changed what and when.
