What this error means
The error shows as "Missing COGS Values" on the settlement, or as "missing COGS accounting codes". Both mean the same thing: Link My Books has product costs to post but no Cost of Goods Sold (COGS) account to post them to, so the settlement cannot send.
COGS represents the direct costs associated with selling products. When Link My Books calculates product costs for settlements, it needs a COGS account in your accounting software to record those values.
Why this happens
Common reasons include:
A COGS account has not been mapped in Link My Books
The COGS mapping was removed or changed after the initial setup
A Product Group is missing its own COGS account
On Amazon, one fulfilment type has been left unmapped
This configuration is completed in Link My Books, using accounts from your chart of accounts in Xero or QuickBooks.
Where to set the mapping
Go to Settings → Settlement Settings → Cost of Goods Sold.
Choose your Inventory (credit) account — where product costs are deducted from.
Choose your COGS (debit) account — where costs are added as items are sold.
Save the changes.
If you do not have these accounts in your chart of accounts yet, Link My Books can create default ones for you.
⚠️ Amazon accounts have a separate pair for each fulfilment type — FBA, FBM/MFN and Non-Amazon Orders. Leaving any one pair blank blocks the settlement, even when the others are set. eBay, Shopify and Etsy accounts need only one pair.
For how the COGS feature works overall, see How to use the Cost of Goods Sold feature.
Still showing the error after mapping?
Two causes, in this order:
A Product Group is missing its COGS account. Product Group settings override Settlement Settings, and this is the easiest cause to miss because the SKUs all look mapped. Go to Product Groups → Action → Set COGS account and set the inventory and expense accounts for each group.
The settlement needs refreshing. Open the Action dropdown on the settlement and choose Refresh. This is not the same as retrying the send — a retry uses the old mapping.
When to email us
If the accounts are mapped, your product groups have their COGS accounts set, and a refresh has not cleared it, email [email protected] with the settlement date range and marketplace.
