What "Needs review" means
When Link My Books imports an Amazon settlement, we total up every transaction line item included in it (sales, refunds, fees, reserves and so on) and check that this matches the total Amazon reports for that settlement.
A settlement shows Needs review when the individual line items look correct on their own, but the total doesn't quite match Amazon's reported settlement total. The difference is usually small.
Why this happens
Amazon occasionally applies a charge, credit or adjustment at the settlement level that isn't broken out as a transaction line item we can import. Common causes include:
Amazon fees applied to the settlement as a whole rather than per transaction
Shipping Cost - A shipping cost that Amazon has not applied.
A cross-debt or cross-marketplace adjustment between two of your Amazon accounts
A correction Amazon made to an earlier settlement
Before flagging a settlement this way, Link My Books re-checks it against Amazon's data to rule out an import error — "Needs review" means the difference is genuinely there on Amazon's side.
This has been seen most commonly on some Amazon.ca settlements so far.
How to resolve it
Open the settlement from your Settlements dashboard and look for the Needs review flag. This will show you:
the exact difference between Amazon's reported total and the line items we imported, and
which category of the settlement it most likely relates to.
If the difference is $50 or less (in your settlement currency), you can resolve it yourself:
Choose the category that best matches the difference — for example Amazon Fees, Reserved Balance, or Adjustment. We pre-select the most likely one where possible.
Click the button to create the adjustment.
Link My Books adds a correctly-categorised adjustment line to the settlement so it balances, then posts it to Xero or QuickBooks as normal. Each category posts to its own account, so your accountant can see exactly what the adjustment was for.
If you picked the wrong category, you can redo the adjustment — it replaces the previous one rather than adding a second line.
If the difference is larger than $50
For bigger differences, the self-serve option won't be offered, as a larger gap usually means something Amazon should explain or correct. In that case, reach out to us via live chat and we'll investigate it with you.
Note: this self-serve threshold was recently raised from $20 to $50 — if you were previously told a smaller amount couldn't be self-served, it may now be resolvable directly from your dashboard.
