To download your Link My Books settlement and Cost of Goods Sold (COGS) entries in bulk to a CSV file for a specified date range, follow these steps:
How to Download Your Data
Access the Download Option:
From your Settlement Dashboard, click the Download icon (usually a downward arrow or cloud icon) located at the top right of the page just above the top settlement.
Choose Your Download Type:
A list of download options will appear. Select the type of data you wish to download:
Option 1: Download Settlement List
This option will download all settlements currently displayed on your dashboard to a CSV file.
The data in this file will include:
Settlement ID
Marketplace
Currency
Amount
Converted Currency (if applicable)
Converted Currency Amount (if applicable)
Start Date
End Date
Status of Settlement
Option 2: Download Settlement Data
This option allows you to download detailed settlement data for a specific date range.
Select your desired Start and End Dates for the data you want to download.
Generation Time: Please note that the file may take some time to generate depending on the size of your account and the selected date range.
Option 3: Download COGS Data
This option allows you to download your Cost of Goods Sold (COGS) data for a specific date range.
Option 4: Download Audit Data
This option allows you to download your Audit data for a specific date range.Audit data typically includes detailed Order IDs, transaction amounts, and relevant settlement details, making this option invaluable for in-depth financial analysis and record-keeping.
Generation Time: Please note that the file may take some time to generate depending on the size of your account and the selected date range. For Xero users, audit files will automatically attach to each invoice within 48 hours after syncing settlements, including detailed order information and invoice matches.Additionally, users requiring sales data by province or state can extract this through manual reorganization of downloaded audit data.
⚠️ Download button clicks but nothing happens (no error, no file)?
If you click Download to CSV or Download Audit Data and nothing happens at all — no loading spinner, no error message, no file in your downloads folder — try these steps in order:
Check your browser's pop-up or download blocker. Some browsers silently block the download window. Look for a small notification icon in your address bar and allow downloads from the Link My Books site.
Try a different browser. Chrome and Firefox are the most reliable for large CSV exports.
Clear your browser cache and reload the Settlements page, then try the download again.
Try a smaller date range. Very wide date ranges can sometimes time out before the file is generated. Try downloading one month at a time.
If the download still fails after these steps, please contact our support team via the blue chat icon with the settlement date range and marketplace. The team can generate and send you the CSV directly by email.
What the Audit CSV Includes and Excludes
The audit data CSV provides a transaction-level breakdown of each settlement, but it does not include every data point from the original marketplace. Here is what to expect:
Included:
Order IDs, SKUs, and transaction amounts
Sales, refunds, fees, and tax breakdowns per order
Settlement totals and date ranges
Not included:
Destination country: The audit CSV does not include a country column. For a regional breakdown of sales (e.g. UK vs international), use Financial Analytics > VAT Audit tab instead, which groups sales by dispatch and destination.
Per-order shipping line items: Shipping is grouped into its own category total rather than broken down per order within the audit file.
⚠️ VAT Audit tab and non-VAT-registered sellers: If you are not yet VAT registered, the VAT Audit tab in Financial Analytics will return minimal or empty data. This is expected, as your sales are mapped to "No VAT" in the Accounts & Taxes wizard, so there is no VAT data for the report to display. For a breakdown of where your orders shipped, use your marketplace's own reporting tools (e.g. eBay Seller Hub > Reports > Orders, filtered by country).
How to Find Which Settlement Includes a Specific Order
If you need to trace a specific order back to the settlement it belongs to — for example, to reconcile a particular transaction in your accounting software — you can do this using the Audit Data download.
From your Settlement Dashboard, click the Download icon and select Download Audit Data.
Set the date range to cover the period around the order date. If you are unsure exactly when the order was settled, use a wider range (e.g. the full month the order was placed, plus the following month — settlements can lag behind order dates by several days or weeks depending on the sales channel).
Open the downloaded CSV in a spreadsheet application (Excel, Google Sheets, etc.).
Use your spreadsheet's Find function (Ctrl+F / Cmd+F) to search for the order number or order ID.
The matching row will show the Settlement ID and settlement date range that the order was included in. You can then locate that settlement on your dashboard to see its full breakdown or its status in your accounting software.
💡 Tip: Link My Books does not currently have an in-app search to look up a specific order and see which settlement it belongs to. The audit CSV download is the best way to trace individual orders to their settlements.
