If you've just joined Link My Books, then firstly - welcome!
Chances are you're only seeing around 3 months worth of historical data in your Link My Books account - and that's perfectly normal. We only import 3 months worth of data from your sales channel when you first connect it to Link My Books.
If you need to go back further and import more historical data so that you can sync it to your accounting platform, that's possible too.
Understanding Historical Data in Your Link My Books Plan
The amount of historical data you can access with Link My Books depends on your plan tier:
Plan Tier | Sales Channel Connections Included | Historical Data Included |
Lite | 1 | 3 months |
Plus | 2 | 12 months |
Pro | 5 | 18 months |
Premium | 10 | 24 months |
Scenario: Needing More Historical Data
You might find yourself in a situation where your plan, based on your number of connected sales channels, doesn't automatically include the full depth of historical data you need.
For example: You may have a plan suitable for a lower number of sales channels (like a "Lite" tier), which comes with 3 months of historical data. However, you might require 12 months (or more) of data for your annual accounting or to get a complete historical picture.
Solution: Purchasing Additional Historical Data Bundles
If your current plan's default historical data allowance isn't sufficient, and your required data falls within the maximum limits mentioned above, you can easily expand it by purchasing an additional data bundle. This allows you to access older settlements without needing to change your core plan based on your channel count.
We offer the following historical data bundles:
Access up to 12 months of historical data: £49 +VAT
Access up to 24 months of historical data: £99 +VAT (subject to your sales channel's specific API limitations as listed below)
Purchasing one of these bundles will upgrade your account's historical data access to the specified level (e.g., 12 months total or 24 months total, up to the maximum supported by your sales channel).
How to Purchase a Data Bundle
To purchase an additional historical data bundle, please contact our support team.
Please note: This option is available only to users with an active Link My Books subscription plan. Additional data bundles cannot be purchased for trial accounts; a subscription will be needed first.
How to Request the Older Data
Once you've worked out if your plan includes enough historical data allowance or you've purchased a data bundle you need to let us know the date you'd like to import data back to.
You do this via the Settlements Dashboard:
Look for the link that says "Need more settlement history? Import older data".
Once you click that a popup will appear asking you what date you'd like to go back to:
Enter the date you'd like to go back to and click Set Date.
We’ll now begin fetching the older data from your sales channel. This can take several hours but we’ll let you know once it’s ready.
IMPORTANT - For Amazon accounts only
Amazon archives settlement reports after 90 days so we will be unable to import them until you request them.
On Amazon Seller Central navigate to:
Reports > Payments > All Statements
Click the Request Report button on any settlements you want us to import.
Maximum Historical Data Import Limitations
It's crucial to understand that while Link My Books can provide access to more historical data through bundles, there are ultimate limits imposed by the sales channels themselves. These limitations are due to the maximum period for which their APIs (Application Programming Interfaces) allow us to pull data.
Even with purchased data bundles, Link My Books cannot retrieve data beyond these channel-specific limits.
Here are the maximum historical data periods we can currently import for each sales channel from the date of your request:
12 months - Walmart
18 months - eBay
24 months - Amazon, Shopify, Etsy, TikTok Shop, WooCommerce, Square
We strongly recommend checking with our support team for guaranteed data import periods for your specific sales channels before purchasing a data bundle. Our team can confirm the exact maximum look-back period available for each of your connected channels.
