If you've just joined Link My Books, then firstly - welcome!
Chances are you're only seeing around 3 months worth of historical data in your Link My Books account - and that's perfectly normal. We only import 3 months worth of data from your sales channel when you first connect it to Link My Books.
If you need to go back further and import more historical data so that you can sync it to your accounting platform, that's possible too β and you can now do this entirely yourself inside the app.
β οΈ On a free trial? Trial accounts are limited to 3 months of historical data only. Historical data bundles can only be purchased by users with an active paid subscription. If you are a bookkeeper or accountant who has been added as a user to a client's trial account, the account owner will need to subscribe to a paid plan before additional historical data can be unlocked. Please ask the account owner to subscribe first, then follow the steps below.
π Important: Your plan tier is based on how many sales channels you connect β not on how much historical data you need.
If you only have 1 sales channel, you'll be on the Lite plan regardless of how far back you need your data. That's completely fine β you can purchase a one-off historical data bundle to extend your history without needing to change your plan.
Understanding Historical Data in Your Link My Books Plan
The amount of historical data included with your plan depends on your plan tier:
Plan Tier | Sales Channel Connections Included | Historical Data Included |
Free Trial | Unlimited | 3 months (cannot be extended) |
Lite | 1 | 3 months |
Plus | 2 | 12 months |
Pro | 5 | 18 months |
Premium | 10 | 24 months |
β οΈ Using more sales channels than your plan allows? You may be "overplan".
If you have more active sales channels connected than your plan tier includes (e.g. 2 sales channels on a Lite plan which only covers 1), your account will be flagged as "overplan". When overplan, some features β including accessing historical data and purchasing data bundles β may be restricted until you either upgrade to a higher plan tier or disconnect the extra sales channels.
Before purchasing a separate historical data bundle, check whether upgrading your plan might be more cost-effective. For example, if you're on the Lite plan (1 channel, 3 months history) but have 2 active sales channels, upgrading to the Plus plan would give you 2 channel connections and 12 months of historical data included β which may be better value than staying on Lite and buying a data bundle separately.
To check your current sales channel count, go to Settings > Sales Channel Connections. To upgrade your plan, go to Settings > Billing.
Scenario: Needing More Historical Data
You might find yourself in a situation where your plan's default data allowance doesn't cover the full history you need.
For example: You may be on the Lite plan (1 sales channel, 3 months of data included) but need 12 months of history for your annual accounts.
Solution: Purchasing Additional Historical Data Bundles
You can purchase a one-off historical data bundle directly inside the app to extend your history. This does not change your plan β it simply unlocks the ability to import older settlements.
We offer the following bundles:
Bundle | UK Price | US Price | AUS Price |
Up to 12 months of historical data | Β£49 +VAT | $65 USD | $99 AUD |
Up to 24 months of historical data | Β£99 +VAT | $130 USD | $198 AUD |
When you purchase a bundle, you're not locked into importing a fixed number of months. You choose your own start date β you could go back 6 months, 9 months, or the full 12 (or 24) months. The bundle simply unlocks the ability to go back up to that maximum.
Please note: Data bundles are available only to users with an active Link My Books subscription. They cannot be purchased on a trial account.
How to Purchase a Data Bundle and Set Your History Date
You can now purchase a bundle and set your earliest history date entirely within the Link My Books app β no need to contact support.
Step 1: Go to your Settlements Dashboard and click the link that says "Need more settlement history? Import older data".
Step 2: A popup will appear. Enter the date you'd like to go back to.
Step 3: If the date you've selected falls outside your current plan's allowance, you'll be prompted to purchase a bundle at this point. You'll pay using your card on file and the bundle will be activated immediately.
Step 4: Click Set Date and we'll begin fetching your older data from your sales channel.
β οΈ Note on the date display after purchase
After purchasing a bundle, the date shown in the Import Older Data popup may not immediately update to reflect your new allowance. This is normal β your account has been updated and you can enter any date within your new range. Simply type in your desired start date and click Set Date.
β οΈ Shopify-billed customers
If your Link My Books subscription is billed through Shopify, purchasing a historical data bundle currently requires a manual invoice. Please contact our support team and we'll send you a Stripe payment link to complete the purchase.
IMPORTANT β For Amazon accounts only
Amazon archives settlement reports after 90 days, so we are unable to import them until you request them from Amazon directly.
In Amazon Seller Central, navigate to:
Reports > Payments > All Statements
Click the Request Report button on any settlements you want to import. Do this BEFORE setting your history date in Link My Books, as the reports need to be available before we can fetch them.
Once your date is set, we'll begin fetching the older data. This can take several hours β we'll notify you when it's ready. If after a full 24 hours the data is still not visible, please contact support.
Managing Settlement Visibility
Once your historical settlement data is imported, you can manage which settlements are displayed on your dashboard. If you prefer not to see certain settlements, navigate to the Action button for the relevant settlement and select Hide. This helps keep your dashboard organised and relevant.
Maximum Historical Data Import Limitations
There are limits on how far back each sales channel's API allows us to retrieve data. Even with a purchased bundle, we cannot go beyond these channel-specific maximums:
Sales Channel | Max History Available |
Amazon | 24 months |
Shopify | 24 months |
eBay | 18 months |
Etsy | 24 months |
Walmart | 12 months |
TikTok Shop | 24 months |
WooCommerce | 24 months |
Square | 24 months |
Frequently Asked Questions
I'm on a free trial β can I access more than 3 months of data?
No. Trial accounts are limited to 3 months of historical data. To access more, the account owner must first subscribe to a paid plan. Once subscribed, you can either unlock more data through your plan's included allowance or purchase a one-off historical data bundle.
I'm a bookkeeper added to a client's account β how do I get more historical data?
Only the account owner can manage billing and subscriptions. If your client is on a trial, ask them to subscribe to a paid plan first. Once they have an active subscription, you can request older data through the Settlements Dashboard. Billing-related changes must be authorised by the account owner directly.
I've been a customer for years β why is my old data missing or why do I need to pay for it?
Historical data is imported at the time your sales channel is connected. If you've been with us a while, your older settlements may simply not have been imported at the time. Purchasing a bundle lets you unlock and import that older data at any point. If data that was previously visible has disappeared unexpectedly, please contact support β a setting may need adjusting.
Will my historical data stay accessible if I keep my subscription?
Yes. Any data that has been imported into your account remains accessible for as long as your Link My Books subscription is active. If you cancel, your account and data will be removed after 90 days. See our Data Retention article for full details.
Can I buy just a few months instead of a full 12-month bundle?
No. Bundles are sold in 12-month and 24-month increments, but you choose exactly how far back to go when you set your date. You're not required to import the full 12 months β you can set any start date within your unlocked range.
I want more data but the app is only offering me a Lite plan β why can't I upgrade to Premium?
Plan tiers are based on the number of sales channels you connect. Premium (24 months included) is for accounts with up to 10 channels. If you only have 1 channel, you'll be on the Lite plan β but a historical data bundle gives you the same extended history without needing to change your plan.
Troubleshooting Historical Data Issues
Double-check that your requested date falls within your plan or bundle allowance.
For Amazon accounts, make sure you've requested the relevant reports via Seller Central before setting your history date.
If the Import Older Data popup shows an unexpected date after purchasing a bundle, this is a known display lag β simply enter your desired date manually.
If your account is flagged as "overplan" (more connected sales channels than your plan allows), you may need to upgrade your plan or disconnect extra channels before historical data features become available.
If data is still not visible after 24 hours, contact support.
