While Link My Books offers a convenient rollback feature, there might be rare occasions when it encounters an issue or fails to complete. In such cases, you may need to manually void the settlement entries directly within QuickBooks. This guide outlines that process.
Step 1: Void the Settlement Entry in QuickBooks
The first step is to locate and void the specific settlement journal entry directly in your QuickBooks account.
Access the Journal Entry:
From the Settlement Summary: You can often use the 'View on QuickBooks' link provided within Link My Books (e.g., from the main dashboard or within the settlement details).
From Detailed Breakdowns: Alternatively, if you're viewing a detailed breakdown of a settlement within Link My Books, you may find direct links to individual journal entries for specific components of the settlement.
Delete the Journal Entry: Once you are viewing the journal entry within QuickBooks, locate and select the 'Delete' option (usually found at the bottom of the entry screen).
Confirm Deletion: Confirm your action by selecting 'Yes' when prompted.
Step 2: Rollback the Settlement in Link My Books
After manually deleting the entry in QuickBooks, it's crucial to perform a rollback in Link My Books to synchronise its records and ensure the settlement is marked as ready to send again.
Go to Settlement Dashboard: Navigate to your Link My Books main settlement dashboard.
Initiate Rollback: Locate the settlement you just manually voided in QuickBooks. Click the 'Action' dropdown menu for that settlement, and then select 'Rollback'.

This step is essential as it validates the rollback on the Link My Books side, aligning its records with QuickBooks and marking the settlement as 'ready to send' again.
Step 3: Re-send the Settlement from Link My Books
Once the rollback is confirmed in Link My Books, you can then re-send the settlement to QuickBooks.
Access Action Menu: From the settlement's 'Action' dropdown menu (in your Link My Books dashboard).
Send to QuickBooks: Select 'Send To QuickBooks'.
The settlement should now successfully post to QuickBooks.
