Account mapping error on Link My Books

What this error means

You may see an error like:

  • Account Code Archived

  • Account Code Invalid

  • Missing Accounting Codes

  • Deleted Account Reference

  • Failed to save accounts

This error appears when Link My Books tries to send a settlement to your accounting software, but one of the accounts or tax codes referenced in the transaction is no longer valid.

This usually happens when an account that Link My Books is configured to use has been deleted, archived, or changed in Xero or QuickBooks.


Why this happens

Common reasons include:

  • An account used by Link My Books was archived in Xero or QuickBooks

  • An account was deleted or renamed

  • A tax code referenced by Link My Books is no longer available

  • The account mapping in Link My Books was not fully completed

Because the account or code cannot be found, the accounting platform rejects the transaction.

How to resolve it

Check the account mappings used by Link My Books.

Steps:

  • Open Link My Books

  • Go to Accounting & Taxes settings

  • Review your account and tax mappings

  • Ensure all required accounts and tax codes are selected

You should also check in Xero or QuickBooks that:

  • the mapped account still exists

  • the account has not been archived

  • the tax code used in the mapping is active

If an account was deleted or archived, either restore the account or update the mapping in Link My Books.

"Failed to save accounts" during Setup Wizard

If you see a "Failed to save accounts" error specifically during the Tax Wizard or initial account mapping setup, this is a different issue from the errors above.

This error typically occurs when one of the following is true:

  • A sales channel (e.g. Shopify, Amazon) is still on an expired free trial and has not been migrated to your active subscription

  • The sales channel connection has become stale or disconnected and needs to be re-authorised

  • The same marketplace seller account (for example, the same eBay or Amazon seller ID) is already connected to another Link My Books account, often from a previous trial or an accountant client setup. In this case the new setup wizard cannot complete because of the duplicate-account collision and the Tech Team will need to free up the seller ID on the back end.

⚠️ How to resolve "Failed to save accounts"

This error cannot be resolved through the account mapping settings alone. Please contact our support team so we can check whether the sales channel needs to be migrated from a trial to your active subscription, whether the connection needs to be refreshed on the back end, or whether a duplicate seller-ID collision needs to be cleared.

When reaching out, please include:

• Which sales channel you were setting up (e.g. Shopify, Amazon, eBay)

• The marketplace seller ID or store name if you have it

• The exact step in the wizard where the error appeared

• A screenshot of the error if possible

When to contact Link My Books support

Contact Link My Books support if:

  • you cannot identify which account is causing the error

  • all accounts appear active but the error still occurs

  • the settlement continues to fail after updating the mappings

Please include:

  • the settlement ID

  • the exact error message

  • the events or steps that led to the error

  • a screenshot if possible
