Contact name already assigned error on Link My Books

What this error means

You may see the error: "Contact Name Already Assigned"

This occurs when Link My Books tries to create or sync a contact while sending a settlement, but a contact with the same name already exists in your accounting software.

Both Xero and QuickBooks require contact names to be unique, so the transaction is rejected if a duplicate name is detected.


Why this happens

Common reasons include:

  • A contact with the same name already exists in Xero or QuickBooks

  • There are duplicate contact records in your accounting software

  • A contact was previously archived or created manually, causing a naming conflict

Because the accounting platform requires unique contact names, the transaction cannot be created.


How to resolve it

Check the contact records in your accounting software.

Steps:

  1. Log in to Xero or QuickBooks

  2. Search for the contact name mentioned in the error

  3. Check whether another contact already exists with that name

  4. Update, rename, or merge the duplicate contact if needed

After resolving the contact conflict, return to Link My Books and send the settlement again.


When to contact your accounting software support

You may need to contact Xero or QuickBooks support if:

  • you cannot merge or edit the duplicate contact

  • the system prevents changes to the existing contact record

  • the duplicate contact cannot be resolved

Your accounting software support team can help resolve duplicate contacts in the system.

Contact Link My Books support if:

  • the contact issue appears resolved but the error still occurs
